App: Leads

Description

The Leads App is the top level for all leads.  When adding a new lead to the REIFlow system, you’ll create an item in this app first.  Within this App you’ll find fields for recording general information (type, time, where and who) about the lead.

Having a top level app such as this allows for having multiple properties and contacts under one lead.  Not only that but it keeps everything well organized and flexible for any situation.

Purpose

To be the starting point for all leads.

Fields

Here is the list of fields that are created with this app.  There are a variety of fields from simple text input fields to selection (category) fields.

Automations

Automations are processes that are triggered by an action (add new item or change a value) that occurs within an app. These automations are performed by REIFlow’s webservice by leveraging the Podio API and Webhook technologies.  Globiflow or other similar services are not used in any way.

Lead Setup (When new lead is saved)

  • Stage is set to New Lead
  • Date Originated is set to <current date>
  • New Property Item is created in PROPERTIES  App and referenced in Property(s) field
  • New Contact Item is created in CONTACTS App and referenced in Contact(s) field
  • Property Actions is set to <no value>
  • Contact Actions is set to <no value>

Adding New Property

  • A new Property Item is Created in PROPERTIES App when new Lead Item is Created
  • A new Property Item is Created in PROPERTIES App when Property Actions field value is changed to + ADD PROPERTY – click to add new property

Add New Contact Item

  • A new Contact Item is Created in CONTACTS App when new Lead Item is Created
  • A new Contact Item is Created in CONTACTS App when Contact Actions field value is changed to + ADD CONTACT – click to add new contact

Updating Lead Stage

  • Lead Stage value is set to Pursuing when Motivation Level is set to Highly Motivated 
  • Lead Stage value is set to Pursuing when Motivation Level is set to Motivated.
  • Lead Stage value is set to Follow up when Motivation Level is set to Not Motivated: Follow up.
  • Lead Stage value is set to Dead when Motivation Level is set to Not Motivated: Close Lead.
  • Lead Stage value is set to Dead when Status is set to Dead.

Creating of Follow Up Tasks.

  • Follow up Task is created for 1 week from current date when Follow Up field value is changed to 1 Week
  • Follow up Task is created for 1 week from current date and recurring every week when Follow Up field value is changed to 1 Week (recurring)
  • Follow up Task is created for 2 weeks from current date when Follow Up field value is changed to 2 Weeks
  • Follow up Task is created for 2 weeks from current date and recurring every  2 weeks when Follow Up field value is changed to 2 Weeks (recurring)
  • Follow up Task is created for 1 month from current date when Follow Up field value is changed to 1 Month
  • Follow up Task is created for 1 month from current date and recurring every month when Follow Up field value is changed to 1 Month (recurring)
  • Follow up Task is created for 6 months from current date when Follow Up field value is changed to 6 Months
  • Follow up Task is created for 6 months from current date and recurring every 6 months when Follow Up field value is changed to 6 Months (recurring)

Views

Views in Podio are predefined data filters that allow you to quickly see a list of items grouped and ordered in certain ways.  REIFlow installs a package of views for each App.

All Leads: Shows property address, Contact Name, Status, Motivation Level and Stage for all of your leads

Stage: Shows property address, Contact Name, Status, Motivation Level and Stage for all leads in a particular stage

Marketing Sources: Shows property address, Contact Name, Status, Motivation Level and Stage for all of leads in a selected marketing source

Lead Types: Shows property address, Contact Name, Status, Motivation Level and Stage for all leads in a selected lead type

Motivation Level: Shows property address, Contact Name, Status, Motivation Level and Stage for all leads in a selected motivation level
